How to Prioritize Your Week as a CEO

How to Prioritize Your Week as a CEO: The Now / Next / Later Method

Let’s be honest… running a business often feels like juggling knives while riding a unicycle. Emails pinging. Team members asking for approvals. Projects half-done. A million “great ideas” scribbled somewhere on sticky notes or a Google doc.

If you’re a business owner, chances are it’s not the ideas or the motivation you’re lacking. You’re ambitious, passionate, and you want to make an impact.

The real struggle? Everything feels urgent. Everything feels important.

And when everything feels important, you freeze. You end up firefighting, micromanaging, or spinning your wheels instead of moving forward.

In fact, research from the Harvard Business Review found that knowledge workers waste up to 41% of their time on activities that don’t add value to the organization. That’s almost half the workweek lost to noise.

So, how do you cut through the noise and decide what truly matters this week?

What Is the Now / Next / Later Method?

The Now / Next / Later method is a simple, three-step prioritization framework designed for overwhelmed CEOs, founders, and entrepreneurs who need clarity fast.

It works like this:

    • NOW: The essential priorities for this week. The few tasks or projects that will move your business forward right now.

    • NEXT: Important items, but not urgent. These are scheduled for later this month or quarter.

    • LATER: Ideas, projects, or “nice-to-haves” that don’t require action anytime soon.

At first glance, it looks deceptively simple. But simplicity is what makes it powerful.

Because when your brain is overloaded, the last thing you need is a 12-step system or a complex project management framework. You need clarity that you can create in 10 minutes flat.

Why This Method Works (The Science of Focus)

Here’s why the Now / Next / Later framework works so well:

    1. It reduces cognitive load.
Studies show that humans can only hold about 3–5 priorities in working memory at one time. (Miller’s Law, 1956; still backed by modern neuroscience.) When you have 25 things competing for attention, your brain short-circuits. Filtering them into 3 buckets restores clarity.

    2. It shifts you from reactive to proactive.
According to McKinsey, CEOs spend 72% of their time in meetings and “firefighting mode.” The Now / Next / Later reset pulls you out of reacting and into leading, by forcing you to ask: What actually matters this week?

    3. It combats decision fatigue.
Research by Roy Baumeister (Florida State University) shows that we make about 35,000 decisions a day. No wonder you’re exhausted. The Now / Next / Later framework eliminates the “everything feels urgent” trap and gives you ready-made categories to guide decisions.

How to Implement the Now / Next / Later Method in 10 Minutes

Here’s exactly how to try it for yourself this week:

  1. Do a brain dump.
Write down everything on your mind: tasks, projects, deadlines and ideas. Don’t filter!
    Sort into categories.
    • NOW (This Week): What must move forward this week? Limit to 3–5 items max.
    • NEXT (Soon): Important, but not this week. Schedule these into your calendar or project management tool.
    • LATER (Parking Lot): Great ideas, but not for now. Keep them safe in a “someday” list.

  2. Assign ownership.
This is where CEOs often slip. If every “NOW” item has your name on it, you’re the bottleneck. Ask: Who else can own this?

  3. Review weekly.
Block 10–15 minutes every Monday to reset your NOW / NEXT / LATER. This weekly rhythm keeps you out of chaos.

Examples in Action

To make this real, let’s put some tasks into each bucket.

    • NOW: Approving marketing content for launch, finalizing a client proposal, reviewing this week’s financials.

    • NEXT: Researching a new CRM, outlining a new program, planning your Q2 hiring strategy.

    • LATER: Starting a podcast, writing a book, redesigning your website.

Notice how the NOW list is lean and laser-focused. That’s intentional.

Common Pitfalls (and How to Avoid Them)

Even simple systems can get derailed. Here’s what to watch out for:

    • Everything feels like NOW.
→ Ask yourself: If I only got these 3 things done this week, would I still feel I made progress? If yes, they belong in NOW. If no, move them to NEXT.

    • The LATER list becomes a graveyard.
→ Review it monthly. Some ideas will move up to NEXT, and some will naturally fall away. That’s normal.

    • You keep owning all the NOWs.
→ This is a red flag for micromanaging. Delegate or assign ownership. Otherwise, you’ll always be stuck in execution instead of leadership.

Why This Matters for CEOs and Visionaries

Here’s the hard truth: your business doesn’t grow because you react to everything.

It grows when you lead with clarity, focus, and intention.

The Now / Next / Later method is NOT about managing tasks.  It’s about shifting your role. From firefighter to→ visionary. From busy manager to→ CEO.

In fact, research from Gallup shows that companies led by highly engaged executives are 21% more profitable. Why? Because focused leaders set focused priorities — and their teams follow suit.

Turn This Into a Weekly Habit

Using Now / Next / Later once is helpful. Using it weekly is transformational.

That’s why I created the CEO Power Hour Playbook,  a free resource that gives you a 60-minute rhythm to:

    • Review what’s working and what’s not,

    • Reset your focus every week,

    • And keep your team aligned without micromanaging.

Think of it as your CEO reset button.

Lead With Focus, Not Firefighting

At the end of the day, your business doesn’t need you to chase every idea or react to every fire. It needs you to lead.

The Now / Next / Later method is simple, YES!  but that’s what makes it stick. It helps you filter the noise, choose what matters, and create momentum week after week.

So here’s my invitation: try it this week. Pick your 3–5 NOWs. Park the rest. See how much lighter your week feels.

And if you want to turn this clarity into a powerful weekly habit, grab the CEO Power Hour Playbook (my gift to you).

Because your business will grow faster and you’ll breathe easier when you stop reacting and start leading.
